JAYBEE What's New in SmartButler® version 4?

The new version of SmartButler® offers a broad range of new features that were added to the system in order to enable the user, to exploit its full potential. Below is a summary list displaying these enhancements.

Operational Enhancements

  • Reports: SmartButler® can now generate graphic pie reports of the event calls in the LogBook in addition to graphic line reports. Another useful report feature enables the user to choose a customer range from a drop-down box instead of remembering the specific customer name.  Reports can now also be saved to HTML or PDF format thus enabling them to be sent and read by individuals who do not necessarily have SmartButler®. It is also possible now to generate reports filtered by one or more customer types.

  • Customers: Customers' names have been extended to 25 characters instead of existing 5. It is now possible to define how many of these characters will appear in the logbook grid. A new table named "customer type", has been  added, helping to associate each customer with a predefined type. This new categorization is useful for future reporting purposes.
  • Interface with Outlook: A new two-way data exchange between SmartButler® and Outlook enables tasks to be transmitted via both applications thanks to the new module.  An important "by product" of this development is the ability of synchronized handhelds with Outlook to have open calls displayed on their machines.&
  • Interface with Fidelio: Allows the user to derive information from Fidelio's database and use it with connection to SmartButler® functionalities. This interface provides a number of advantages such as: automatic insertion of guest details (such as: name, dates of arrival/departure, spoken language and VIP status) in call records, ability to automatically open GSC call upon a Fidelio event, ability to charge of services provided through the GSC and the operator ability to use SmartButler® for guest look-up.
  • SMS technology: Using SmartButler®'s SMS capability, the system can be configured to automatically send SMS to the appropriate runner when an event call has been opened. The runner can respond by SMS back to the system to update status. This technology along with the Fidelio interface enables the activation of a smart-query (for example, allows security to interrogate the system concerning a specific guest), commercial activity to in-house guests and post-sale marketing aimed at selected departing guests.
  • MO Permission: A new table designed to manage authorizations with regard to the use of SMS technology. It is possible to define individuals as runners, HODs or SmartQuery-operators, rules regarding SMS dispatching hours and automatic urgent event notification to duty managers.
  • Logbook functionality: It is now possible to view event calls in an additional way (Double Browse), choose to analyze logbook data online with a pie graph (by providers or services) and SMS options are available through the logbook. If the interface with Fidelio is also installed, all information concerning in-house guests can be viewed on the logbook alongside SmartButler®'s information.
  • Configuration options: The user can now determine the design of his/her screen (grid colors, logo can be chosen to appear on the opening screen) and choose to automatically send "help" e-mail to JAYBEE in case a system error occurs.
  • Users and Permissions: New permissions added (SMS managing, connection to Fidelio), password masking, association of user to provider thus allowing individuals to view only certain calls on logbook and configure user to enter directly to logbook screen when SmartButler® is launched.
  • Bug Fixes

Technical Enhancements

  • Database Location: Improvement in working with database location access. Dropdown list enabling a quick re-connection to the latest registered locations and computer's name is now the default of WorkStation ID Field.
  • Easy Network Upgrade: The new version installed on the first station will identify automatically the location of the current Database on the network drive, thus enabling the remaining stations to have much faster and less complicated upgrade process.

New Platforms

  • Multi-Site capability: In order to manage all of the establishment's calls, not only those directed to the GSC, it is now possible to maneuver between different sites that are connected to the same database utilizing the same SmartButler® client. 
  • Web Server: Utilizing Client-Server technology, this new web-enabled application, allows authorized individuals accessibility to their establishment's SmartButler® data server system via "thin" OCX-based computers over IP.
